Which Processes Suit AI Automation

Not every workflow is a good fit for AI automation. The questions worth asking: Is the process repeatable? Does it follow a clear pattern? Are the inputs structured, or can you structure them? Three yeses, and you've got the foundation for useful automation.

First working automations typically emerge within 2 to 4 weeks of project start. That applies to clearly defined use cases like email routing, document processing or database queries. More complex systems with multiple integrated sources and outputs need 6 to 10 weeks. We communicate realistically and stick to our timelines.

Then you're our typical client. Most owner-managed mid-market companies with 20 to 200 employees often have small IT departments - or ones already stretched with day-to-day operations. We work completely independently and don't need a technical contact from you. What we need is access to relevant systems and a brief weekly alignment call.

Most common business systems connect easily through APIs or webhooks: CRM platforms like HubSpot, Salesforce or Pipedrive, ERP systems, email services, Google Workspace, Microsoft 365, databases, web shops and many others. If a system has an API, we can usually connect it. For older systems without APIs, we'll explore alternative approaches. We'll sort this out in our initial conversation.

We work with fixed prices per project, based on clear project definitions. This gives you budget certainty and motivates us to work efficiently. Investment depends on scope: simple automations start in the low four figures, more complex systems with multiple integrations cost accordingly more. Before any implementation, you'll receive a binding quote - and an honest assessment of whether the investment pays off.

Far more low-maintenance than proprietary solutions that lock you into permanent vendor dependency. Our systems run on stable, established platforms like Python and Flask, which are widely supported and battle-tested. In practice, simple automations run for months without intervention. When external APIs change - which occasionally happens - it's typically a manageable adjustment.

I stand behind what we build. During handover and the first few weeks after, we're your direct contact for any issues - direct and personal. Implementation errors get fixed at no charge. When external changes (like third-party API updates) require adjustments, we'll sort it out pragmatically.
